Introduction

The Belgian Islamic Federation (BİF) is an Islamic organization established with the aim of promoting mutual assistance and solidarity among Turkish and Muslim communities that have adopted national and religious views. BİF operates on a voluntary basis and offers various services to learn, teach, live, communicate, and fulfill the requirements of Islam. The headquarters is located in Brussels, and there are thirty branches in Belgium.

Privacy

BİF (hereinafter: "we") processes sensitive information, also known as personal data, from donors, volunteers, campaigners, employees, suppliers, and other relations. In some cases, we work with other organizations or companies. We do this to help our donors and stakeholders as much as possible and to achieve our goals.

We consider the careful handling of personal data to be of great importance. Therefore, personal data is carefully processed and secured by us. In doing so, we comply with the requirements of privacy legislation. This includes, for example:

  • Specifying the purposes for which we process personal data;
  • Limiting the collection of personal data to only the personal data necessary for the purposes for which they are processed;
  • Asking for your explicit consent in situations where your consent is required to process your personal data;
  • Not transferring your data to third parties unless necessary for the requested service or legally required;
  • Ensuring that your data is not used for other purposes when we share it;
  • Taking appropriate technical and organizational security measures to protect your personal data and also requiring this from parties that process personal data on our behalf;
  • Respecting your right to view, correct, or delete your personal data upon request.

In this privacy notice, we explain why and how we process your personal data.

Why Do We Process Personal Data?

Our privacy and cookie policy takes into account a range of regulations and laws, including:

  • General Data Protection Regulation (GDPR) – also known as the General Data Protection Regulation (EU) 2016/679
  • Implementation Act General Data Protection Regulation (UAVG)
  • Telecommunications Act

The first two laws came into effect on May 25, 2018, and replaced the Wbp as of that date. As explained in this notice, the processing of your personal data is permitted based on these laws because we have an agreement with you and/or your consent or because we have a legitimate interest (for the described purposes) or because the law requires it. We will only send you marketing communications with your consent. You can always choose to opt-out.

Depending on the services and functions you use with us or the data you share with us in another way, we may process the following personal data about you:

Payment Information

If you arrange a (continuous) direct debit authorization, we process your IBAN to receive the donation. If you make a one-time donation yourself, we store your IBAN so that we can recognize subsequent donations as a gift from you.

Youth

Our website and/or service is not intended to collect data about website visitors under the age of 16 without parental or guardian consent. However, we cannot verify whether a visitor is over 16 years old. Therefore, we advise parents to be involved in their children's online activities to prevent data from being collected about children without parental consent. If you are convinced that we have collected personal data about a minor without such consent, please contact our donor service. We will then delete this information.

Why Do We Process These Personal Data?

We process the above personal data for one or more of the following purposes (depending on the services or functions you purchase and/or use):

  • To inform you about our projects, actions, or services that you have requested or that we think may be of interest to you.
  • To inform you about our work and activities.
  • To process and manage your donations.
  • To raise funds in accordance with our internal rules and procedures and CBF standards.
  • To enable the creation and management of an action page, including employee sponsorship.
  • To register the signer of a petition.
  • To process your subscription to our newsletter.
  • To invite you to participate in volunteer surveys or questionnaires.
  • To approach you as a contact person of an organization.
  • To analyze and use the personal information we collect from you in combination with public information to better understand your interests, preferences, and donation options, so we can communicate better with you and avoid sending you unwanted communications.
  • To ensure that the messages you see on social media, our website, and emails match your interests, preferences, and other characteristics.
  • To process your application.
  • To analyze and improve the content and operation of our website (anonymized).
  • To comply with our legal obligations (for example, regarding taxes or in case of disasters, police, and judiciary).
  • To approach you via email or SMS for marketing purposes, provided you have agreed to this. We may also send you service notifications via email.

If you have provided us with your postal address or phone number, we may inform you about our work or other communication tools as described above. This can be done by post, SMS, or phone unless you have indicated that you do not wish to receive this. You can request to stop such marketing activities at any time. Contact our donor service for this.

Your Personal Data and Third Parties

BİF never sells your personal data to third parties. However, in the context of our actions, we sometimes share personal data within partnerships if necessary. We also use systems or services from suppliers, where the supplier may have access to data from our donors and relations. In all cases, we ensure that these parties provide sufficient guarantees in the field of privacy protection and security.

Recipients of Personal Data

The main recipient of personal data is, of course, BİF. There are also some parties that can process this data, such as hosting parties, communication parties, financial service providers, and parties that recruit/approach donors for us. These parties only process personal data on our behalf and solely for the intended purposes.

How Do We Combine and Analyze the Information We Collect About You?

For BİF, we use 'custom audiences' via the social media platforms of Facebook and Instagram. (Personalized) advertisements can be displayed on these platforms. We can match email addresses with existing profiles on social media platforms. Please note: You may still see messages from BİF if you belong to a general target group we focus on.

BİF does not make decisions based on automated processing that can have significant consequences for people. These are decisions made by computer programs or systems without involving a person (for example, a BİF employee).

Secure Use of Personal Data

BİF ensures appropriate organizational, technical, and physical security of the systems in which your data is stored. In this way, we ensure that only authorized persons have access to your data and that the data is only used for the purposes for which it was obtained and for compatible purposes.

The personal data of website visitors, newsletter subscribers, and donors are handled and secured with the utmost care. The BİF website uses a secure protocol for data exchange, an SSL certificate (recognizable by the beginning of all our web pages with https:// and a lock in the URL). As a result, the personal data you exchange via our web forms cannot be intercepted in a readable form by others.

If you think your data is not properly secured or there are indications of misuse, please contact our donor service. In the further processing of personal data in our management, we also comply with the General Data Protection Regulation.

Sharing Personal Data with Third Parties

Your data will only be provided to a third party if this is necessary for the purpose for which it was obtained; for example, to send you a letter or to call you. The necessary data is always exchanged securely. When implementing third parties, we record that this data is only used for the agreed purpose and then destroyed. It is also possible that we are legally obliged to provide your data to government agencies or other parties. We will only share the strictly necessary data.

BİF never provides personal data to parties with whom we do not have a processing agreement.

Viewing, Changing, or Deleting Data

Under the GDPR, everyone has a number of rights. We do our best to comply with this as well as possible. Do you have any suggestions or comments? Let us know! To exercise your rights, you can contact our donor service.

  • Information and Access: Of course, you can see which personal data we process about you. We are happy to explain how and why we process this data.
  • Correction: Do you think we have incorrect data about you? Let us know, and we will adjust it.
  • Forgetfulness: You can ask us to delete the personal data we have about you. We may need to process this data for other purposes (for example, administration or deduplication).
  • Restriction: If you think we are processing your personal data unlawfully or incorrectly, you can also restrict this processing.
  • Objection: You can object to the processing of your personal data. Is it about marketing? Then we will stop this processing as soon as possible.
  • Portability: This is a new right under the GDPR to transfer (or have transferred) your personal data. If you want to use this, please contact us.

You can also withdraw your consent for receiving emails or other processing at any time. You can do this in every phone call, via the unsubscribe link at the bottom of every email newsletter, or via our donor service.

If you have indicated that you no longer wish to be contacted for marketing purposes, we will keep your details on the unsubscribe list to ensure that we do not contact you for marketing purposes. We may still contact you for administrative and service-related purposes.

You can send your request for access, correction, deletion, data transfer, or withdrawal of your consent or objection to the processing of your personal data to our donor service. To ensure that the request was made by you, we ask you to send a copy of your identity document with the request. In this copy, make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number, and citizen service number (BSN) black. This is to protect your privacy. You can use the 'KopieID app' for this, for example.

We will respond to your request as soon as possible, but no later than four weeks.

BİF also points out that you have the opportunity to file a complaint with the national supervisory authority, the Dutch Data Protection Authority, if you believe that we are not complying with privacy legislation.
